Executive Assistant
This position is an integral part of the Executive Assistant Team and while assigned to specific executives, will also work simultaneously to support the entire Executive team. The EA will be responsible for handling confidential information and maintaining professionalism in dealing with senior level leadership. This candidate will help build a positive team environment and establish working relationships inside and outside of the group.
- Maintain and coordinate executive’s complex calendars by planning and scheduling meetings, conferences, teleconferences and resolving scheduling issues.
- Domestic and international travel including airfare, hotel, ground transportation and VISA's.
- Investor Relations conferences including scheduling, registrations, and materials.
- Assist in Board Meetings preparation.
- Communicating with Board Members and Shareholders.
- Reconciling and submitting expenses in SAP Concur.
- Welcomes guests and customers in person or on the telephone and answering or directing inquiries.
- Respond to general inquiries and forward to appropriate department when necessary.
- Process invoices and create PO's.
- Annual budget preparation.
- Oversee and manage corporate events.
- Must be able to maintain strict confidentiality at all times.
- Other duties as assigned.
- Minimum 8 years of executive assistant experience
- High school diploma or equivalent required, bachelor’s degree preferred.
- Excellent written and verbal communication skills.
- Excellent time management skills; proven ability to meet deadlines.
- Experience in managing multiple calendars and travel logistics.
- Experience processing invoices.
- Strong interpersonal skills with the ability to work harmoniously in a team setting.
- Ability to prioritize daily work schedule and function with minimum supervision.
- Strong time-management skills and the ability to organize and prioritize work.
- Ability to adapt to changes in work environment, managing competing demands and able to deal with frequent changes, delays, or unexpected events.
- Proficient in Microsoft Office
- Able to lift 25 pounds to move files and retrieve information.
- Regular and reliable attendance
